Getting started with VoiceOI

You sign up on the VoiceOI website and confirm your email with a 6-digit code. The VoiceOI team then reviews and activates the account, which starts the two-day free trial. Until then the dashboard shows only the Account Provisioning screen. After activation, the team connects your dialer (VICIdial®, the built-in dialer or Twilio numbers) while you build and test your first script.

What do you need before you start?

Everyone needs a work email address they can open, a phone number the team can reach, and a rough idea of how many bots they want. A bot handles one call at a time, so the number of bots is the number of calls you can run at once.

What to have ready, by setup
Your setupWhat you need readyWhat the VoiceOI team does
VICIdial®A working VICIdial server, and an admin who can allow-list VoiceOI’s server addresses (let them connect to your dialer) on every server, if you run a cluster of several. You also send the team the access details it asks for, including the address of every server that places calls.Connects your server under Integrations, adds your dialer’s addresses on the VoiceOI side, sets up the in-group and campaign, and creates the VICIdial users, phones and remote agents (the entries that let each bot take calls from your dialer).
Built-in dialerA SIP carrier, either your own or VoiceOI’s carrier service (sold separately from the bots), and your leads in a CSV file.Switches the built-in dialer on for your account.
Twilio numbersA Twilio account with the phone numbers you want to use.Sets up the numbers with you under Integrations.

On VICIdial accounts you keep your lists, dial method, hopper and calling hours in VICIdial. Not sure which setup is yours? See Which setup do you have?.

How do you sign up?

Sign-up and log-in are on the VoiceOI website, not inside the dashboard. Open the sign-up page to start.

  1. Fill in the sign-up form

    You

Enter the fields in the table below, tick the box that accepts the Terms and the Privacy Policy, then press Start My 2-Day Free Trial.

  2. Open the email and read the 6-digit code

    You

VoiceOI sends a 6-digit code to the address you entered. It works for 15 minutes, and five wrong tries cancel it. If it is not in your inbox, check your spam folder, then see Sign-up, log-in and invite problems.

  3. Enter the code on the Verify Your Email page

    You

Type the 6 digits, one in each of the six boxes, and press Verify Code. Pasting the whole code does not work: it fills only one box. Stay in the browser tab you signed up in, because the page remembers your email address only there.

A message then says your account is ready. That means your email is verified, not that the account is active.

  4. Wait for the team to activate the account

    VoiceOI team

The next screen is Account Provisioning. See What happens while your account waits?.

The sign-up form
FieldWhat to enter
Organization and Your NameYour company name and your full name.
Work EmailAn address you can open now. The code is sent here, and you log in with it.
PhonePick the country code, then enter your number. The team may use it to reach you.
PasswordAt least 8 characters. The form stops short passwords at 6 characters, but the server needs 8, so a 6 or 7 character password is refused after you press the button.
Total BotsHow many bots you want to start with. The field starts at 10, so change it. The team confirms the number at approval.
Promo Code (Optional)Only if you were given one. Press Have a promo code? to show the field.

What happens on the Account Provisioning screen while your account waits for approval?

After you verify your email, the account is pending. The VoiceOI team reviews each new account by hand and activates it. Approval is not instant, and the team may reach you by phone, WhatsApp or email meanwhile. Until then every dashboard page sends you to Account Provisioning.

What the Account Provisioning screen shows

On the screenWhat it means
The line about a dedicated environment, the four stage cards, the progress bar, “Currently at phase 3 of 4”, the percentage badge and the quote under Next StepsFixed decoration. It does not measure your account and it does not promise anything, so ignore it.
The Next Steps panelGeneric text shown to every account, including built-in dialer and Twilio accounts. It is not a commitment and it does not say when your account will be approved. For your own timing and next steps, ask the team.
The Speak with Technical Lead buttonOpens the website contact page.

The screen checks your account status every 5 seconds. When the team activates the account, it opens the dashboard by itself, and VoiceOI emails the address you signed up with.

What to do if it takes longer than you expected

  1. Check your email

    You

Look in your inbox and spam folder for a message from VoiceOI or the team.

  2. Contact the team

    You

Press Speak with Technical Lead, use the contact page, write to [email protected], or use WhatsApp or phone on +1 702 415 9926. Give your organization name and sign-up email.

  3. Activate the account

    VoiceOI team

The team activates the account and confirms the number of bots for your trial.

How does the two-day free trial work?

VoiceOI offers a two-day free trial, and sign-up asks for no payment details.

  • The trial starts when the VoiceOI team approves your account, not when you sign up. The team confirms the number of bots for the trial at approval.
  • The team can decline, limit or end a trial, for example to prevent abuse.
  • A trial never turns into a paid plan on its own. To keep using VoiceOI after the trial, you add a prepaid balance.

The dashboard does not show a trial countdown, so ask the team for the date your trial ends. Remaining Balance may show a number of days (for example “7d left”). That is your balance divided by your daily charge, not days left in your trial. The charge accrues whether or not you place calls. Plans and prices are on the pricing page. The prepaid balance is in Team, balance and support.

How do you log in, and what do you see first?

  1. Open the log-in page

    You

Go to the log-in page, enter your work email and password, and press Initialize Session. A short “Securing Your Session” screen may appear.

  2. See where you land

    You

A pending account lands on Account Provisioning. An active account opens the Dashboard.

  3. Log out when you finish

    You

Use Log out in the header’s user menu.

The first Dashboard is mostly empty until your bots start calling. Its panels, such as Calls per day, by outcome, then fill in. That is normal.

If you forgot your password

  1. Start the reset

    You

On the log-in page press Forgot Credentials? and enter your email address. VoiceOI emails a 6-digit code that works for 15 minutes.

  2. Enter the code and a new password

    You

Enter the code under Recovery Code (OTP), then enter a New Password of at least 8 characters twice. When the page says the password is updated, log in with it.

Which setup do you have: VICIdial®, built-in dialer or Twilio numbers?

The VoiceOI team sets your account up for one of three ways of dialing. Your sidebar and the Integrations page show which one you have.

What if your account is paused or was not approved?

A paused or declined account cannot use the dashboard. What you see depends on where you are.

WhereWhat you seeWhat it means
The log-in pageThe message Organization is frozenThe account is paused. A prepaid balance that ran out also pauses the account.
The log-in pageA message titled Organization Rejected: “Your organization was not approved by administration. Please contact support.”The team declined the account.
A page that will not load while you are signed in, for example the Dashboard“Couldn’t load your dashboard. Account access restricted. Please contact support.”The account was paused or declined while you were signed in. Log in again: the log-in page then shows which of the two messages above applies.

Before a pause for balance, the Dashboard shows a note that starts “Your balance has run out.” There is no top-up button, so ask the team how to add balance. See Team, balance and support.

  1. Contact the team

    You

Write to [email protected], or use WhatsApp or phone on +1 702 415 9926. Give your organization name, the email address you log in with, and the message you saw.

  2. Find the reason and restore the account

    VoiceOI team

The team checks the account, tells you the reason, and tells you what restores it.

  3. Log in again

    You

When the team says the account is restored, log in from the log-in page.

How do you invite team members?

An admin invites people under Settings > Teams with Invite Member, and each person chooses their own password from the emailed link. The steps and roles are in Team, balance and support.

What should you do on day one?

Once the account is active, work through this list.

  1. Set your time zone

    You

Open Settings > General, choose your Primary Timezone, then press Apply Global Aesthetic at the bottom of the tab. The button has that name even though it also saves the time zone, and nothing is saved until you press it. Your Dashboard and Dialer Dispositions days follow it.

  2. Start a script in Scripts

    You

Press New Script, name it, and press Create & Open Editor, or install a template from Marketplace. See Script Builder.

  3. Test the script in the Simulator

    You

Open Simulator, choose a campaign under Select Campaign to Test, choose Text Simulator (Dry Run) or Browser Mic (WebSpeech API - Dry Run), and press Start Simulation. It tests the script linked to that campaign, places no real calls, and stays out of your Dashboard numbers.

If the campaign list is empty, ask the team for a test campaign, then pick it under Assigned Campaign in Script Settings (gear icon) in Script Builder.

  4. Check Integrations

    You

Open Integrations and look under Connected. Your dialer or phone numbers are listed once the team has connected them.

On the VICIdial card, press Configure, then Test connection. A pass means the web server answered and VICIdial’s reply held no login or API error. It does not prove that calls reach a bot or that results are written back.

  5. Run a test call with the team

    Both

Ask the team to confirm your bots are connected and to place a test call before you load real leads. For VICIdial, see the check list in Connect VICIdial®.

  6. Learn where results appear, and invite your team

    You

Results are in the Dashboard and Call Logs: see Monitoring and reports. To add people, see How do you invite team members?.

Sign-up, log-in and invite problems

I did not get the 6-digit code, Resend OTP does nothing, or the page says “Invalid or expired verification code”

Likely cause

The email went to spam, the address was mistyped, the code is older than 15 minutes, or a newer code replaced it (each submit of the form cancels the previous code). After 15 minutes your sign-up details are gone too, so fill in the form again.

If you submit the form again within a minute, the page says “Please wait a minute before requesting another code.”

How to check

Look in your spam folder, check the address on the Verify Your Email page, and compare your code with the newest email. The Resend OTP link does not send a new code at the moment.

How to fix it

Wait one minute, then press Back to Signup. The form is empty, so fill it in again with the same email address (or the correct one) and submit it. A new code is sent, and the old one stops working.

Still stuck

The email address, the time of each attempt with your time zone, and the exact message.

“Too many incorrect codes. For your security this code has been cancelled. Please request a new code.”

Likely cause

Five wrong tries cancel a code, for the sign-up code and the password reset code alike.

How to check

You see the message after several wrong entries in a row.

How to fix it

Wait a minute, then request a new code: submit the sign-up form again, or start the reset again with Forgot Credentials?.

Still stuck

The email address, the time with your time zone, and whether it was sign-up or password reset.

The Verify Your Email page sent me back to the home page

Likely cause

The page keeps your email address only in the browser tab where you signed up. A new tab, a closed tab or cleared site data loses it.

How to check

You opened the verify page from a link or a new tab.

How to fix it

Go to the sign-up page and fill in the form again. If your first code is still in your inbox, wait one minute before you submit, because a new code replaces the old one.

Still stuck

The email address and the time with your time zone.

“Email already exists” when I sign up

Likely cause

An account, or a team invitation, already uses that email address.

How to check

Try to log in with the address. Look for an invitation email from a colleague in your inbox and spam folder.

How to fix it

Log in at the log-in page, or press Forgot Credentials? if you forgot the password. If a colleague invited you, open the link in the invitation email and set your password there. To start a separate account, use a different email address.

Still stuck

The email address and the organization name you expected.

“Invalid Promo Code” or “Promo Expired”

Likely cause

The code is mistyped, expired, or has been used up.

How to check

Compare the code with the one you were given. Codes are shown in capital letters.

How to fix it

Correct the code and submit again, or press the small remove button next to Promo Code (Optional) to sign up without one.

Still stuck

The promo code and who gave it to you.

“Too many signup attempts, please try again after 15 minutes” or “Too many verification attempts, please try again after 15 minutes”

Likely cause

VoiceOI limits sign-up submissions and code checks per network address over 15 minutes. People who share one office network share the limit.

How to check

Did you or colleagues on the same network submit the form or enter codes several times?

How to fix it

Wait 15 minutes, then try again once, carefully.

Still stuck

The email address, the time with your time zone, and the exact message.

“Invalid credentials” or “Too many failed sign-in attempts” when I log in

Likely cause

The email or the password is wrong. VoiceOI gives the same message for both.

After 10 wrong passwords for one account, log-in is blocked for up to 15 minutes: “Too many failed sign-in attempts. Please wait 15 minutes and try again, or reset your password.” If many people log in wrongly from one office network, the network can be blocked instead: “Too many failed sign-in attempts. Please try again in 15 minutes.” A password reset does not lift that one.

How to check

Check the email address, and use the eye icon to show the password.

How to fix it

Press Forgot Credentials? and reset the password with the 6-digit code, or wait 15 minutes if you are blocked.

Still stuck

The email address, the time with your time zone, and the exact message.

Common questions

Is the VoiceOI free trial really free, and how long is it?

Yes. The trial is two days, and sign-up asks for no payment details. It starts when the VoiceOI team approves your account, not when you sign up. The team can decline, limit or end a trial. To keep using VoiceOI afterward, you add a prepaid balance.

I did not get the 6-digit verification code. What do I do?

Check your spam folder and the address on the verification page. Wait one minute, press Back to Signup, and fill in the sign-up form again with the same email address. A new code is sent and the old one stops working.

How long does account approval take?

The VoiceOI team reviews each new account by hand, so approval is not instant and no time is promised. Until then the dashboard shows only the Account Provisioning screen, whose progress bar is fixed text. If you have waited longer than you expected, contact the team.

Why can I not see Campaigns, Audio Library or ViciDial Tools in my dashboard?

Customer logins do not include those three pages. They are the VoiceOI team’s setup tools, so if a campaign needs to be created or changed, ask the team.

What do I need on my own VICIdial server?

You need a working VICIdial server and an admin who can allow-list VoiceOI’s server addresses on it, on every server of a cluster. You send the team the access details it asks for, including the address of every server that places calls, and the team adds those addresses on the VoiceOI side. The team does the rest of the connection.
