Per-Minute and Per-Bot Pricing explained

Per-minute vs per-bot pricing is the first question to settle when you compare voice AI for outbound calling, because the two are not the same unit. A per-minute price charges for talk time; a per-bot price charges for capacity, meaning how many calls you can run at once. Which one is cheaper depends on how busy your bots are. This post explains both models, shows the break-even math, and gives you a worksheet to fill in with your own call data.

Model 1: per-minute pricing

You pay for every minute a call is connected. Some vendors bundle speech recognition, voices, the language model and telephony into one rate; others bill each part separately.

  • Good: you pay nothing when you are not calling. Small or irregular volumes stay cheap.
  • Watch out for: cost rises with talk time. A longer, better conversation costs more, and a busy month produces a bigger bill. Check what the rate includes; on Bland's page, for example, telephony is billed separately.

Two examples from vendors' own pricing pages, reviewed October 2026:

  • Bland AI lists a Start plan at $0.14 per minute with no platform fee and a Build plan at $0.12 per minute plus a $299 monthly platform fee. Its page adds that telephony is billed separately, on your own carrier or Bland's built-in Twilio at pass-through cost. Source: bland.ai/pricing.
  • Retell AI lists pay-as-you-go at $0.07 to $0.31 per minute depending on the voice, model and add-ons, with separate lines for voice infrastructure, language model, voice and telephony. Source: retellai.com/pricing.

Model 2: per-bot (capacity) pricing

You pay for capacity. A bot is one concurrent call, billed per month, and, assuming the plan has no minute cap, the number of minutes it talks does not change the price.

  • Good: the bill is predictable and does not grow with talk time. The more minutes each bot handles, the lower your cost per minute.
  • Watch out for: a bot you pay for but barely use is expensive per minute. Size the number of bots to the concurrency you actually run.

The break-even point

The break-even is the number of talk minutes per bot per month at which the two models cost the same: bot price divided by price per minute.

Above the break-even, the per-bot plan costs less for that bot; below it, the per-minute plan does. The per-minute rates here are the figures quoted above and may not include the same things as a VoiceOI bot. On the VoiceOI side, carrier minutes are an additional line. Retell and Bland both list telephony separately from their per-minute rates. The $0.07 column is the low end of Retell's range, which depends on the chosen model, voice and add-ons, and $0.31 is the high end. Compare like with like.

A worked example

Assumptions (illustrative, not a promise): one bot, about 4 hours of connected conversation a day, 22 working days, so roughly 5,280 minutes a month.

Now the other direction: the same bot connected for only 300 minutes in a month costs $21 at $0.07 per minute, which is less than $35. A bot that sits idle is the main way per-bot pricing loses. For a floor that keeps its bots busy for most of the day, the per-minute rate matters less than how many bots you run at once.

Volume discounts apply to the number of concurrent bots: 15% off at 10 to 49, 30% at 50 to 99, 45% at 100 to 249 and 60% at 250 or more, never below each tier's floor. For example, a VICIdial Good Fronter is $35 at list, $29.75 at 10 bots, and bottoms out at its $22 floor.

What to include in a fair comparison

Put the same items on both sides:

  1. Telephony. Carrier minutes and numbers, usually separate in both models.
  2. The AI platform fee. Per minute, or per bot per month.
  3. Separately billed AI usage. Recognition, voices or the model, if the vendor bills them on top.
  4. Human time. The closers who take transfers, and anyone who reviews calls.
  5. Wasted minutes. Answering machines and quick hang-ups cost money on a per-minute plan. On a per-bot plan they cost capacity. VoiceOI ends the call when it detects a machine.

Effective per-minute cost (per-bot)    = (B x D) / A

If the per-bot plan's effective per-minute cost is below the per-minute price, capacity pricing wins for that campaign. Run it for a low, a typical and a busy month.

Do not compare on price alone

Two plans at the same cost can produce very different results:

  • Transfer quality. How many transfers do your closers accept as qualified?
  • Conversation feel. A long silence after every question gets hung up on. Listen to real calls, not demos. In VoiceOI's own testing a turn takes about a second.
  • Fit with your dialer. If you run VICIdial, can the bots work inside it as remote agents?
  • Features by tier. On VoiceOI, LG bots do not include live transfers, and closer notes come with the Good Fronter tiers, so pick the tier that matches the job.
