What Is a Live Transfer? Warm vs Cold Transfers

What are Live Transfer?

A live transfer is an outbound sales call that is qualified by one person (or bot) and then handed, while the prospect is still on the line, to a second person who can close the sale. In a call center the first person is the fronter and the second is the closer. This guide explains what a live transfer is, how it differs from a warm transfer and a cold transfer, and how AI qualification fits in.

What is a live transfer?

On an outbound floor, a fronter dials, handles the machines and the refusals, and screens the person who answers. When someone qualifies, the call goes live to a closer. The word "live" means a human is on the other end the moment the transfer completes, as opposed to a lead that is emailed or queued for a callback.

Live transfer is also the name of a lead-generation business: companies that sell live-transferred calls to agents, usually priced per transfer. VoiceOI is not that. It is software that runs the fronting side for your own campaigns, and it does not sell leads or transfers.

Live vs warm vs cold transfer

Vendors use these words loosely, so check what a provider means before you compare. The most common usage:

TermWhat happensWhat the receiving person knows
Live transferA qualified prospect on the line is connected to a closer right awayDepends on the setup; sometimes nothing
Warm transfer (common definition)The person transferring stays on the line and announces the caller to the receiving person before handing overWhatever the transferring person says out loud
Cold transfer (common definition)The call is passed on with no announcement; the transferring person drops offNothing, unless notes travel separately

Under that common definition, the test is whether the transferring party introduces the caller. Some people also use "warm" loosely for any real-time transfer that arrives with notes. The difference that matters on your floor is the context: does the closer know what was said before they say hello?

How VoiceOI handles a transfer

Here is the exact behavior, so you can judge it against any definition above:

  • A bot qualifies the lead against the questions you set in the builder.
  • When the qualifying path is met, the live call is handed to a human closer over SIP.
  • On the Good Fronter tiers, the AI writes call notes about what was established, and those notes go to the closer with the call.
  • The bot does not stay on the line to introduce the caller. It hands over the call and the notes.
  • Routing rules choose which closer or team takes the call.
  • Recordings and transcripts are available for calls, transferred or not, and calls end with a logged disposition.

By the common definition above, this is not a warm transfer, because the bot says nothing to the closer out loud. It is a live handoff over SIP, with AI-written notes on the Good Fronter tiers. When this post and the VoiceOI site say "warm", they mean "with notes", not "announced by the bot". Which bots transfer matters when you plan costs. The Fronter bots and the Closer bots transfer to humans. The LG (lead-generation) bots do not include live transfers. Closer notes come with the Good Fronter tiers (VICIdial Good Fronter, SIP Good Fronter) rather than the Simple Fronter tiers, which transfer without closer comments. See pricing for each tier's features.

A numbered view of an AI live transfer

  1. The dialer, or VICIdial, places the call.
  2. Answering-machine detection ends the call if a machine answers.
  3. The bot asks your qualification questions in your order.
  4. A rule you set decides whether the answers qualify.
  5. The live call goes to a closer by routing rule, with the AI-written notes on the Good Fronter tiers.
  6. The call ends with a logged disposition, and the recording and transcript are available.

What good qualification looks like

A transfer is only as good as the screen in front of it. These habits keep unqualified calls off your closers' lines:

  • Qualify on facts, not enthusiasm. Ask questions with clear answers (age, ownership, ZIP, current provider), not "are you interested?" The Good Fronter tiers verify age and ZIP.
  • Make the rule explicit. Put the qualifying condition in the script, so a lead that misses it is not transferred.
  • Give uncertain calls somewhere to go. "Call me later" is not a transfer: the call ends and the campaign's retry rules decide when to try again. Wrong numbers and do-not-call requests end the call.
  • Read the transcripts of rejected transfers. If closers keep rejecting transfers, the problem is almost always a question, not the bot.

Where live transfers work best

Live transfer suits any campaign where a short screen decides whether a closer's time is worth spending:

  • Final expense and senior insurance: screen by age and interest, transfer to licensed agents.
  • Solar: screen homeownership and bill questions, transfer ready homeowners to your closer.
  • Home services: confirm the project and the homeowner, transfer to your team.

What a transfer does not include

  • No calendar booking or texting. The closer on the live call books anything that needs booking.
  • No inbound calls. VoiceOI places outbound calls; it is not a receptionist.
  • No guarantee on consent. The FCC's February 2024 ruling treats AI voices as artificial voices under the TCPA, which generally means prior express written consent for telemarketing. You stay responsible for compliance. See TCPA controls for what VoiceOI provides.

Frequently asked questions

What is the difference between a live transfer and a warm transfer? In common usage a live transfer is any real-time handoff to a person, and a warm transfer is one where the transferring party stays on and announces the caller. VoiceOI's bot does not announce the caller, so by that definition its transfer is a live handoff rather than a warm one. On the Good Fronter tiers it passes AI-written notes, which is the sense in which the site uses "warm".

Does the bot introduce the caller to the closer? No. The live call is handed to the closer over SIP, with notes on the Good Fronter tiers; the bot does not stay on the line.

Can transfers go to closers on another phone system? Transfers go over SIP to a destination your routing rule picks. Check your closers' number or system with the VoiceOI team during setup.
